Job Opening: Program Coordinator

The Weatherhead East Asian Institute is looking for a full time Program Coordinator. Reporting to the Executive Director of the Weatherhead East Asian Institute (WEAI) at Columbia University, the incumbent will administer the Institute’s Workshops & Conferences, Special Programming, and University Seminars initiatives, serve as the manager of the Institute’s constituent database, and offer constituent engagement services.

Responsibilities include the following:

  • Oversees all strategic and operational duties for the Institute’s Workshops & Conferences, Special Projects, and University Seminars initiatives. Responsibilities in this area include including program selection in concert with a faculty advisory committee; liaising with other internal and external units; and logistics, budget creation and monitoring, communications, publicity, staffing, and reporting for a number of programs annually. (40%)
  • Manages technical aspects of a comprehensive constituent database including creating and maintaining records, creating reports, supporting marketing and communications campaigns, fundraising efforts, and event registration, designing workflows, overseeing timely updates of software, managing user access, and liaising with IT and vendors on appropriate tools for accessing and maintaining data. The incumbent will advise leadership on database strategy and CRM requirements relative to network, web, and other technology areas. Finally, the incumbent will provide on-going training and tutorial support for Institute staff. (30%)
  • Serves as the primary point of contact for Institute members looking to maximize their experience and meet their annual obligations per Institute bylaws. The incumbent will proactively create, identify and communicate opportunities for engagement with units across the University. The incumbent will also support efforts to foster relationships with entities beyond campus, with the goal of expanding member visibility among external stakeholders and creating, identifying and supporting opportunities for collaboration and fundraising. (20%)
  • Supervises and assigns work to student assistants. (5%)
  • Performs related duties and responsibilities as assigned. (5%)

Bachelor’s Degree and/or its equivalent is required. Must have minimum 2 years related experience; prior database management experience or CRM administration strongly preferred. Familiarity with, and interest in, East and Southeast Asia preferred. Must possess excellent interpersonal and networking skills in addition to analytical, research, organizational, and written and verbal communication skills.
